Feature
Project Inbox
All authority correspondence gathered per project. Traceable, secure, searchable.
The problem
Correspondence lives in private inboxes
Correspondence sitting in private inboxes is a compliance risk and a single-person dependency. Permit decisions, lab results and replies from the authorities and the municipality are part of the chain of evidence in your mass-handling flow, and they belong with the project.
The solution
A dedicated, secure shared address per project
With the Project Inbox, every project gets its own secure email address. CC it, and the correspondence gathers in the project: threaded, with attachments, and one click from being archived as a project document.
How it works
Four steps
1. Unique secret address
Each project gets its own non-guessable email address. The address can be rotated at any time.
2. CC on authority email
CC the address on email to and from the authorities, municipality, lab or hauler. No new tool to learn.
3. Replies land threaded
Replies, decisions and lab attachments gather in the project thread, attachments preserved, inbound email signed (SPF, DKIM, DMARC).
4. Archive as document
One click archives the thread or individual attachments to the project's documents as Correspondence, with a traceable link.
Benefits
Why a project inbox
Traceability by design
Decisions, lab results and statements belong to the project, not to a personal inbox. The chain of evidence holds up at inspection and audit.
Survives staff turnover
When a project lead moves on, the inbox stays with the project. No knowledge that leaves with a final workday.
Faster inspections
When authorities ask, the correspondence is gathered per project, searchable and ready to share.
Secure and access-controlled
Only the project team sees the inbox. Data residency within the EU, non-guessable address, address can be rotated.
Security
Built for authority data
- Data residency within the EU.
- Access-controlled per project, only the project team sees the inbox.
- Non-guessable address, rotatable at any time.
- Signed inbound email (SPF, DKIM, DMARC).
